• New Procedure for Substitute Pools

    To maintain a viable pool of substitutes within AppliTrack, a new procedure is being implemented starting September 5, 2013. From now on, all substitutes will need to update their desired position as a substitute and their location selection(s) on a yearly basis. On September 3, 2013, all previously-selected Substitute positions will be erased. Application file will still exist, but there will be no Substitute position(s) selected. Your Substitute folder (My Account>View Shared Folders) will be growing as substitutes renew their applications.

    As an applicant seeking a substitute position for a given school year, they must complete the following process annually:

    • Be certified. Have proof of a teacher or substitute certification. (Note: Emergency Substitute Teacher Certification for a person not fully qualified can be obtained by a local school that has exhausted its list of qualified substitutes.)
    • Apply as a Substitute on Applitrack. Go to: https://www.applitrack.com/seattlearch/onlineapp/. Select a Substitute position on the Position page.
    • Submit a Substitute Pre-employment: Packet. Download forms from: http://www.seecelebrateandlive.org/files/uploads/15/Substitute Pre-Employment Packet 2013.pdf (or use the link in the previous step). Print, sign and submit this packet, which includes the Background Check Authorization and the Safe Environment Program Church Personnel Agreement. Send the three pages to the Office for Catholic Schools via fax, electronic scan or mail. Note: OCS will conduct the CICS background check and post the confirmation of eligibility on AppliTrack, thus making it available to all schools.
    • Complete Safe Environment Training. All newly-hired substitutes must complete the “Called to Protect for Ministries” training program within 90 days of beginning work.
    • School Contacts the OCS. Upon hiring a new substitute, the school sends OCS a copy of their W-4 form.


    A substitute hired locally by any school can be exempt from having an AppliTrack online application if the school has a hard copy file which includes their Background Check and SETA Agreement form. Additionally, the school must monitor that the substitute completes the “Called to Protect for Ministries” training program within 90 days of beginning work.
