• Preparing for the 2013 - 2014 NCEA Data Collection

    Dear School Leaders,

    The annual NCEA Data Collection window will open Monday, September 23rd. Please complete all data entry by the deadline: Friday, October 4th.

    NCEA Data collection is a compliance requirement for all Level I and Level II schools within the Archdiocese of Seattle. The Office for Catholic Schools must send all school census data to the National Catholic Education Association (NCEA) using the October 1, 2013 student enrollment figures. Your prompt assistance is deeply appreciated.

    School leaders are invited to visit the 2012 - 2013 School Data Annual Reports to review what information you will want to have ready as the tool opens up next Monday.

    School leaders will access the online Data Collection Tool, by logging into OCSww.org, click My Desk, and click on School Data Collection (NCEA) under Tools or follow the direct link: http://www.ocsww.org/apps/

    The School Data Collection Tool is organized by tabs with the following topics/chapters:

    • School Info
    • Enrollment
    • Faculty
    • Budget
    • Instructional Materials
    • Assessments
    • Technology
    • Completion Status


    Please note:


    • Save as you go! A Save button is at the bottom of each page. Data entry can be done over time.
    • When the blue circle ?-icon is showing, click to see definitions for specific terms and categories.
    • To see last year’s data for comparison, click on the small yellow folder icon. Move the pop up window to a convenient place. (Please note that the prior year’s numeric data is closed and cannot be edited.)
    • Instructional Materials. Schools have entered textbook and instructional materials information which has been posted in past years. Please update any new instructional materials where necessary. A field is available to identify the author(s), if desired. Also, it is now possible to identify digital media: e-books and CD/DVDs. Any current item can be edited by clicking the pencil icon in the Action column. Items can be deleted by clicking the X icon in the Action column. We value your comments as other school leaders are grateful for your input/feedback.
    • Assessments. Schools have entered formative and/or summative assessment information. Please review your selections and update if changes have occurred.
    • Comment section. The comment section is only visible to school leaders and it is extremely helpful as fellow principals are seeking your professional input. Your input is valued and appreciated.
    • Technology. If your school responded and completed the tech survey in the past, your local data has been imported into this section. You are welcome to update/edit the information to reflect any new changes.
    • Reminder. If you have not done so already, you can use CSED to assign the Role of School Data (NCEA) Editor to a designated staff member. To accomplish this, please follow the steps below:
      • Go to My Desk and click on CS Employee Database (CSED) under the Tools heading.
      • Click on Employee List to see your staff members.
      • Click on the pencil icon after the Username to begin editing.
      • Under Role, check the box for School Data (NCEA) Editor-No Salary. (or + Salary)
      • Click Save at the bottom of the page.
      • Note: As Principal, you have the ability to change a staff username and password at any time.
