RE: New Features for Applitrack
We are soliciting suggestions and feedback about proposed new features for Applitrack in the coming school year. We think Applitrack fits our needs very well for online applications, but we feel that we can improve on our Substitute and Employee Portfolio system. Applitrack is allowing us to pioneer these two features at no extra cost. Here are problems and proposals for the next school year:
- The internal/external two file system confuses some applicants and employees.An employee and/or applicant will have a single logon and password. We will continue to have a short portfolio file for employees, but with an option for employee-applicants to fill the additional steps (pages) of a full application file.
- Pools do not respect the privacy of the applicants, but Principals/Users want them.The new applicant/employee file would have Pools to be selected on the top of the Positions page. A Principal/User can then freely use these pools, but only see applicants that selected to be in the pool. The bottom of the Position page would be a list of schools, each with an Employee position and a Substitute position. Principal/User will see their own employee files and substitute files as personal pools. Thus, pools replace the confusing use of “jobs” to identify employment locations and substitute on-call lists.
Notes: Schools going through accreditation will have a handy way to collect teacher data. Also an accreditation survey can be linked, collected and collated inside Applitrack. - Applitrack looks external.Our website, SeeCelebrateAndLive.org, now has direct links into Applitrack. For example, the jobs available are shown in the middle portion of our website, preserving our branding banners and menus. Please direct employees and applicants to access Applitrack through SeeCelebrateAndLive.org. Your school website can have similar features and direct links to your jobs. Note: Schools can use custom questions as part of their job application, but this feature has been not been widely utilized.
- Schools cannot update the employee file.Some schools want to have edit capability for their employee files. For these schools we suggest that, with the permission and knowledge of the employees, a record of employee portfolio passwords be maintained so that the school can update files. The small number of employees withholding permission can be emailed update notices. Note: After any edit an employee receives an email, so that they would be automatically alerted that a change has been made.
- The Applitrack documentation is good for basic Applitrack, but it does not address the special features of our CSD system.SeeCelebrateAndLive.org will continue to have a direct link to the special CSD documentation for Applitrack. In addition, this will include videos that explain special functions. Help with Applitrack will continue to be an afternoon option at Principals' Meeting. Help is available by phone, email, and scheduled site visits.
- The Principal/President position is confused with Administration.We have moved Principal/President to the top of the list.
